Executive Assistant

The Executive Assistant provides administrative support to ensure efficient operation of the office. Work involves support for the Management Team and employees through a variety of tasks related to organization and communication. The Executive Assistant is responsible for confidential and time sensitive material. Strong communication skills will be key to ensure work is completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. The Executive Assistant will need to be able to rely on experience and judgment to plan and accomplish goals.

Responsibilities:

  • Provide confidential administrative support to CEO and Executive Management Team within the organization. Take minutes, generate reports, compose letters and memoranda from general instructions or from knowledge of the organization’s policies and procedures. 
  • Schedule meetings, coordinate appointments, travel arrangements and events, assist with set-up/clean-up and catering for meetings as required, to provide support to staff.
  • Provide administrative and clerical support for Credit Union and Department projects as requested to Include correspondence, processing of mail and inventory and ordering supplies.
  • Coordinate and assist with receptionist responsibilities at Azura’s Corporate Headquarters.
  • Coordinate repairs to office machines to ensure they are in working order at all times.

Qualifications:

  • Three to five years of related or similar experience required.
  • High school diploma with compatible level of on the job experience, college degree preferred.
  • Knowledge of office management systems and procedures.
  • Proficient in MS Office with typing at or above 75% percentile in speed and 90th percentile in accuracy. 
  • Proficient with spreadsheets; shorthand or speed writing a plus.  
  • Effective time management and highly organized. 
  • Ability to plan events and orchestrate activities to achieve end results.   Discretion, and sound judgement and decision making ability.  
  • Ability to keep information confidential.  
  • High level of communication skills both written and verbal. 
  • Attention to detail and strong problem-solving skills. 
  • Ability to generate professional level correspondence and presentations. 
  • Ability to prepare business letters, proposals, summaries and reports using prescribed format and conforming to all rules of punctuation, grammar, diction and style
